Job Description
We are seeking a highly organized and efficient Assistant to the Executive Vice President Northern & Latin America (EVP NAMLAM) to join our team in Amstetten, Austria for 30 hours a week. In this role, you will provide crucial administrative support to the EVP and the Area Team, ensuring smooth day-to-day operations and facilitating effective communication across countries and functions :
- Manage calendars, including scheduling meetings and ensuring a proper preparation
- Act as a liaison between the EVP and internal / external stakeholders and facilitate communication between the NAMLAM countries, the Area Team and the head office
- Support visitors from our country organizations with their trip to the head office (travel arrangements, hotel bookings, meeting organization) and act as their go-to-person during their stay
- Coordinate and organize team communication and collaboration, e.g. by maintaining our communication channels, file shares
- Assist in managing expense reports, cost charging, invoice controlling, purchase orders, asset inventory, time sheets and much more
- Coordinate and organize international business trips, including visa applications, accommodations, and itineraries
- Prepare and edit correspondence, presentations, and reports
- Support special projects and initiatives as needed
Qualifications
3-5 years of experience as an executive assistant or in a similar roleFluency in English required; Spanish or German language skills are a plusStrong organizational, communicational and time management skillProactive problem-solving skills and attention to detailExperience in working in an international business environment and adaptability to work with diverse teams across different time zonesAbility to work independently and manage multiple priorities with a high level of discretionProficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)Additional Information

A salary in line with the market is offered for this position based on the specific qualification and professional experience.
We are required by law to state the minimum annual gross salary for this position which is EUR 36.725,78 for a full-time contract according to the collective agreement (woodworking industry).
