For our office in Vienna, we are looking for a passionate and experienced
Tender, Finance & Administration Coordinator – 100% (m / f)
to join and help us shape the airports of the future.
Responsibilities :
Finance & Controlling (approx. 40%)
Recording, evaluating and analyzing all accounting transactions within the companyProviding relevant financial key figures for senior managementPreparing financial, monthly and quarterly reportsActing as a point of contact for banks and tax advisorsYear-end closing activities, preparation of preliminary balance sheets and documentation for the tax advisorTender Management (approx. 40%)
Supporting the branch management in the preparation and handling of tendersEntering and managing tenders via group-wide SharePoint platforms and e-procurement portalsCreating checklists for incoming tenders; coordinating with project managers and planning required actionsMonitoring deadlines and ensuring the timely preparation of administrative bid content (cover letters, Q&A documents, submission files)Compiling complete tender documents including formatting, language review, and dispatchPreparing internal reports on submissions, contract awards, and feedbackMaintaining supporting standard documents such as CVs, reference sheets, and client lettersGeneral Administration & Office Organization (approx. 20%)
Providing general administrative and commercial support for project administrationSupporting the administration team with organizational, administrative and commercial tasksAssisting with the preparation of presentations and marketing materialsCoordinating administrative HR matters (vacation lists, salary overviews)Supporting internal reporting as well as IT and archiving processesRequirements :
Completed training or education in administration, office management, or a comparable discipline3–5 years of professional experience in an administrative roleExperience in management support is an advantageFamiliarity with tender coordination or public procurement is a plusInterest in aviation, mobility, or infrastructure is advantageousExcellent skills in MS Office, particularly Word and Excel; knowledge of Dynamics is a plusStrong organizational skills and effective time managementExperience in planning, coordination, and schedule managementExcellent communication skills, both written and verbalAccuracy, initiative, and the ability to prioritize tasks effectivelyVery good command of German (at least level C1) and good English skillsWe Offer :
