For our office in Vienna, we are looking for a passionate and experienced

Tender, Finance & Administration Coordinator – 100% (m / f)

to join and help us shape the airports of the future.

Responsibilities :

Finance & Controlling (approx. 40%)

  • Recording, evaluating and analyzing all accounting transactions within the company
  • Providing relevant financial key figures for senior management
  • Preparing financial, monthly and quarterly reports
  • Acting as a point of contact for banks and tax advisors
  • Year-end closing activities, preparation of preliminary balance sheets and documentation for the tax advisor
  • Tender Management (approx. 40%)

  • Supporting the branch management in the preparation and handling of tenders
  • Entering and managing tenders via group-wide SharePoint platforms and e-procurement portals
  • Creating checklists for incoming tenders; coordinating with project managers and planning required actions
  • Monitoring deadlines and ensuring the timely preparation of administrative bid content (cover letters, Q&A documents, submission files)
  • Compiling complete tender documents including formatting, language review, and dispatch
  • Preparing internal reports on submissions, contract awards, and feedback
  • Maintaining supporting standard documents such as CVs, reference sheets, and client letters
  • General Administration & Office Organization (approx. 20%)

  • Providing general administrative and commercial support for project administration
  • Supporting the administration team with organizational, administrative and commercial tasks
  • Assisting with the preparation of presentations and marketing materials
  • Coordinating administrative HR matters (vacation lists, salary overviews)
  • Supporting internal reporting as well as IT and archiving processes
  • Requirements :

  • Completed training or education in administration, office management, or a comparable discipline
  • 3–5 years of professional experience in an administrative role
  • Experience in management support is an advantage
  • Familiarity with tender coordination or public procurement is a plus
  • Interest in aviation, mobility, or infrastructure is advantageous
  • Excellent skills in MS Office, particularly Word and Excel; knowledge of Dynamics is a plus
  • Strong organizational skills and effective time management
  • Experience in planning, coordination, and schedule management
  • Excellent communication skills, both written and verbal
  • Accuracy, initiative, and the ability to prioritize tasks effectively
  • Very good command of German (at least level C1) and good English skills
