- About the Department of Foreign Affairs and Trade (DFAT)
- The role of the Department of Foreign Affairs and Trade (DFAT) is to advance the interests of Australia and Australians internationally. This involves strengthening Australia’s security, enhancing Australia’s prosperity, delivering an effective and high quality overseas aid program and helping Australian travellers and Australians overseas.The Department provides foreign, trade and development policy advice to the Australian Government. DFAT also works with other Australian government agencies to drive coordination of Australia’s pursuit of global, regional and bilateral interests.
- About the position
- The Visits and Travel Officer is responsible for coordinating official visits, organising official travel and providing general administrative support. The position also contributes to the work of the Corporate Services Section by providing backup support to the finance function.Key responsibilities of the position include but are not limited to :
- Organise, facilitate and accompany official visits and meetings, including the development of visit programs and spouse programs.- Provide protocol support for official visits.- Develop and maintain productive working relationships with relevant stakeholders including travel providers, hotels, the Austrian Foreign Ministry and relevant Embassy contacts.- Manage official travel arrangements for LES and A-based officers, including seeking approvals, obtaining quotes, making bookings, processing acquittals and entering payments.- Provide advice to A-based, LES and visiting delegations on travel policy and entitlements.- Provide backup support for the Corporate Services Officer (Finance) as required.
- Required knowledge / skills
- High level written and spoken English communication skills;
- working knowledge of atleast one language of the Embassy’s countries of accreditation is desirable (German, Hungarian, Slovak, Slovene, Bosnian).- Experience in providing a high-quality client service- Ability to network and foster productive relationships with internal and external stakeholders- High levels of discretion and judgment;

- A. Ability to establish and maintain productive working relationships, demonstrating interpersonal abilities, flexibility, adaptability, initiative and motivation to complete tasks from end to end.B. Experience delivering visits and / or high-profile events with close attention to detail and strong project management skills.C. Well-developed planning and organisational skills and ability to manage multiple tasks and priorities in a high volume, client-focused environment in order to achieve required outcomes and meet tight deadlines.D. Ability to communicate effectively both orally and in writing with internal and external stakeholders, working effectively as part of a diverse team of colleagues and with external suppliers.We are looking for a motivated and well-organised person to join a dynamic team in Vienna as a Visits and Travel Officer.
