Organizational Setting

The Department of Management’s Division of General Services (MTGS) provides support functions to the IAEA through its four Sections : the Archives and Records Section (ARMS), the Commissary Management Section (CMS), the Facilities Management and General Support Section (FMGSS), and the Seibersdorf Laboratories Services Section (SLSS). The Archives and Records Management Section establishes a framework for creating and managing authentic, reliable, and usable records to support IAEA business activities. The Section is divided into three Units : Digital and Mail Services, Records, and the Archives Unit.

About the role

The Head of the Archives Unit is responsible for supervising the Unit, managing activities to ensure effective archival services, and developing the team. The role requires expertise in archival processes, workflows, and management systems, with a focus on digital preservation, metadata, and electronic recordkeeping. The Head advises the Section Head and Division Director and liaises with other departments on related matters.

Functions / Key Results Expected

  • Contribute to Section planning, focusing on evolving priorities and driving excellence aligned with the IAEA's results-based programming approach.
  • Manage and evaluate the work of the Archives Unit team to preserve IAEA's historical records, including both hardcopy and digital records throughout their lifecycle.
  • Develop policies related to archival collections, updating relevant sections of the ARM Handbook, ARMS policies, and procedures.
  • Oversee physical repositories ensuring preservation standards, safety, and security.
  • Manage the archival management system, oversee its operation, and supervise updates and maintenance, ensuring accessibility through published finding aids.
  • Lead the development and implementation of a digital archiving system, integrating it with existing recordkeeping systems and defining transfer and preservation procedures.
  • Prepare work plans, monitor performance, assess staff needs, and guide staff development.
  • Identify digital preservation and electronic recordkeeping projects, proposing technological solutions for long-term data retention challenges.
  • Stay informed on archival domain advancements, share knowledge, and advise on agency-wide projects.
