Facilities Assistant / Office Manager
Are you ready for what’s next, now? We’re looking for a Facilities Specialist for our office in Vienna. The position is 4 days per week and office based . You’ll join an awesome team to support our growing customer base.
About the Role
- Managing all incoming calls and directing them as appropriate.
- Managing our mail, helping us to sort the good from the spam.
- Keep the office and the teams stocked up with supplies. Manage the purchasing and ordering, keep our people happy with coffee, tea, water and other goodies.
- Help to keep our office in great shape. Be on point for facilities management (contact with landlord and canteen staff, suppliers of lighting, cleaning company, garden maintenance, car park, window screens, window cleaner, security, coffee machines, waste processor etc.).
- Keep us moving in supporting us with our car fleet. Including changing of cars, parking policy, damage settlement, registration of all possible documents, ordering fuel cards.
- Supporting HR-department (registration of sick leave, providing gifts for customers and colleagues for different occasions, onboarding new colleagues, hand over a car and IT equipment and taking up all IT equipment and car from leavers, sign and register of all related documents).
- Supporting IT-department (shipment IT equipment by DHL, ordering and registration mobile phones).
- Booking hotel reservations and flights, train and parking tickets.
- Organizing internal and external lunches / diners.
- Coordinator team company emergency services.
- Good command of the English language orally and in writing
- Working hours are 32 hours per week between 8.30 – 5pm, Monday, Tuesday, Friday and Wednesday or Thursday.
